Who We Are
About Hawks PTO
Hawks PTO is a Parent Teacher Organization that holds events, sells tickets to events, has a membership option and uses the money it makes to improve the school. This includes equipment for teachers and students and other supplies. We are a group of dedicated parents who work together to support our school and enhance our children's education. We believe in creating a strong partnership between teachers, parents, and students to promote a positive and engaging learning environment. ​ We organize a wide range of events throughout the year, from fundraisers to social events, that bring our community together. Our aim is to foster a sense of community and school spirit, while also raising funds to support important school programs and initiatives. With the help of our members and volunteers, we are able to make a real difference in the lives of our students and teachers.

Roles Description
The Hawks PTO is a team of parent volunteers dedicated to making our school a vibrant community, and we need your help! Without the support of our parent volunteers, beloved events like Trunk or Treat, Movie Nights, the School Dance (Tall & Small Ball), and Teacher Appreciation Week may not happen.

While some positions may seem like a big commitment, our experienced Board members are here to help new members get comfortable.

A note on commitment: All Board members are required to attend our monthly PTO meetings. These are held on the second Wednesday of the month at 4:00 p.m., either in person or virtually.
Board Members

President
> Preside over all general PTO and Board of Directors meetings. > Serve as the main point of contact for the Hammock Pointe Elementary School Principal. > Work with the Treasurer to file the yearly business registration with the State of Florida and the required IRS report for 501(c)(3) corporations. > Coordinate the work of all officers and committees. > Represent the PTO at outside meetings.

Event Coordinator
> Coordinate all PTO-approved events. > Work with the President on contracts or agreements needed for events. > Communicate volunteer needs to the Membership and Volunteers Coordinator. > Chair the Events Committee, if one exists. > Report on event planning at regular Board meetings.

Membership & Volunteers
Coordinator
> Plan and execute the yearly membership drive. > Coordinate and update the PTO membership list in a central online location. > Work with the Events Coordinator to secure volunteers for events. > Chair the Membership and/or Volunteer Committee, if one exists. > Report on membership numbers and volunteer updates at regular Board meetings.

Fundraising Coordinator
> Develop fundraising partnerships with local businesses. > Draft fundraising agreements and send them to the President for signature. > Chair the Fundraising Committee, if one exists. > Create and distribute flyers for school or PTO fundraising events. > Report on fundraising opportunities at regular Board meetings.

Secretary
This role is for someone who is organized and detail-oriented. Duties: > Record the minutes of all PTO meetings. > Handle all necessary correspondence for the PTO. > Coordinate the production of flyers and promotional materials for events as defined by the Board or Events Committee. > Maintain all organizational records in a central online location. > Report on meeting minutes and records updates at regular Board meetings.

Treasurer
> Manage all PTO funds and maintain accurate financial records. > Disburse funds as approved by the Board of Directors and per PTO policy. > Work with the Board to file yearly tax returns with the IRS. > Provide a monthly financial report and bank statements at regular Board meetings.

If you love event planning and want to help create memorable experiences, consider joining the Events Committee. You’ll assist the Events Coordinator in planning and executing all of our popular school events throughout the year.
